Mandatory Reporting and Incident Management

Mandatory Reporting and Incident Management

“It is very important that organisations learn from things that go wrong. To do this, they need to: improve reporting of errors or incidents; analyse these together with other information – for example, that on complaints; share learning; and act to improve.”
Care Quality Commission

As expectations of Quality Management increase in the Healthcare marketplace, so has the expectation to efficiently manage data and processes around Patient Safety, Health & Safety, Complaints,Third Party Claims and Security.

We are now expected to have more analysis and assessment evidence in order to identify, address and action any issues. In certain circumstances, we have to formally report this data to external regulatory bodies such as the NPSA.

Regulatory requirements across the Healthcare sector within the NHS, Adult Social Care, Independent Healthcare and Blood Bank sectors, not only have to report incidents, but also to complete a multitude of forms for internal and external reporting. Traditionally, these forms would be created as paper, or simple electronic forms, with little visibility of individual actions required to address any issues and with poor analysis of data.

Q-Pulse Mandatory Reporting System (Forms) for healthcare provides a fully integrated Q-Pulse module for the reporting, management and analysis of all forms of data that you require to manage across a Department, Trust or healthcare organisation. It can be configured to replicate your current Management and Reporting System; transforming the data within your forms to provide in-depth investigation, action tracking, analysis, insight and reporting of outcomes.

Easily integrated into other aspects of your quality management system, such as Documents/SOPs, Audit and Investigation Teams, Staff Competencies, Assets, Suppliers and Customers, it enables a simple, yet highly flexible, complete Quality and Incident Management System. This allows incidents to not only be reported, but to be fully managed as part of your complete Quality and Compliance Management system.

Data can be made available to other IT systems where appropriate, whether at Trust, Regulatory or National level - you determine the criteria to be exported, and through Application Programme Interfaces (API)’s, we are able to push where it is needed.

NHS Clatterbridge are already benefiting from using Q-Pulse’s Mandatory Reporting System module. The module can help increase accuracy and consistency of data capture, providing timely management of regulatory requirements by reducing reporting overhead by as much as 67%. The Mandatory Reporting System module has been developed and refined using the knowledge Gael has gained from providing similar solutions to the aviation industry over the last 5 years.

The difference in being able to automatically upload our Clinical Incidents to the NPSA through Q-Pulse has been amazing... we can meet our external and internal reporting requirements in about a third of the time that it would take us if we did not have the direct link.”
