Based in the Kenyan capital city of Nairobi, the University is the country’s oldest and specialises in providing diversified academic programmes in sciences, applied sciences, technology, humanities, social sciences and the arts. In their bid to achieve compliance with a number of standards – particularly ISO 9001 – the University required to implement an electronic management system which would see all of their quality management processes, specifically data analysis and asset and audit management, in one central and electronic location.  

As well as helping them gain certification to a number of standards, their new solution was required to allow them to reduce their bureaucratic processes associated with document approvals and also needed to help them manage their auditing process from scheduling and execution through to follow-up.

Q-Pulse, Gael’s quality and compliance management software was chosen following extensive investigation of available solutions and after consultation with Gael’s East African partner company Intex Management Services.

Ibrahim Otieno, Project Leader of the Human Resource Management Information System (HRMIS) at the University, said: “The main project driver for the selection of Q-Pulse was compliance with standards, particularly ISO 9001 which we found particularly important.

“Q-Pulse was quickly identified as being the best solution that would meet our needs. It has helped speed up both our data analysis and reporting of audits and has assisted greatly in the management of equipment and related activities on these, for example in maintenance and calibration.”

Ibrahim added: “Q-Pulse has benefited the University greatly. It has improved the process of managing our ISO 9001 documents and made it easier for us to meet the associated requirements. Q-Pulse has also reduced the time spent to generate audit analysis reports and provided us with analysis from a variety of different perspectives. Our auditing process has been improved and standardised and as well as this, across the University we have witnessed vast improvements in the management of our assets and equipment.

“Speaking from experience, at a user level there have also been some significant improvements. The management of our QMS documents, which was previously being done through our intranet, has improved immensely as has the analysis of our audit reports which was previously being done using spreadsheets and other tools. We are also very impressed with Q-Pulse’s ability to track the audit process. Q-Pulse is an
excellent software solution for the management of compliance requirements and it is also very easy to use. In terms of support, Gael has been extremely supportive and very useful through our local vendors, Intex Management Services.”
