The Aseptic Services department of Gateshead Health NHS Foundation Trust required a centralised, customisable software system to manage and support processes including Auditing, Document Control and Training Records. They chose Q-Pulse, a compliance management solution from Gael Ltd.

The Trust provides a broad range of healthcare services to Gateshead and the surrounding area, and Q-Pulse was already implemented by the Trust's Pathology Department.

David Sproates, Lead Pharmacist – Oncology & Aseptic Services said: "Q-Pulse is used by our department to manage documents such as our Standard Operating Procedures (SOPs). Throughout the department we have found this is the best system for keeping all our paperwork that may be required for external audits, such as EL (97) 52.

Q-Pulse basically speeds up the process of document control, making our departmental information easily accessible, helping us to comply with regulatory requirements, and to manage compliance in accordance with GMP guidelines.

"We now have more control over our SOPs, forms and other controlled documents through Q-Pulse. Being able to identify outstanding actions and automatically notify appropriate staff has helped us to make sure that controlled documents and their associated system records are accurate and up-to-date.

"We're also able to track and monitor documents at each and every stage of the change control process. Having the ability to see instantly which documents are due for review, which are being revised, and which have been approved, allows us to spend much less time and effort managing controlled documentation."

The Aseptic Services Department has transferred virtually all their documents into Q-Pulse, where previously, a paper based system had been used.
